Job Description:
Oversight of Systems, Disbursements and Procurement. Disbursements Responsibilities: Disbursements operation including the accounts payable, payroll and Travel & Entertainment reimbursement functions.
1. Oversee the processing of invoices, manual requests for payment, repetitive and EFT payments.
2. Maintain the company's e-Pay system and related initiatives
3. Implement new applications and processes to streamline the disbursements process and enhance controls over the outflow of cash.
4. Plan, organize and manage the activities related to the processing, control and disbursement of payroll checks, payment and reporting of Payroll Taxes, and the reconciliation, control, disbursement and reporting of employees- authorized and/or legally mandated payroll deductions.
5. Develop productivity metrics and produce monthly scorecards to assess the efficiency of the department.
6. Work closely with Finance Support Team to ensure operability of ADP Payroll, ADP Time & Labor and PeopleSoft Accounts Payable and T&E Modules. Implement enhancements and/or changes to existing systems resulting from changes in business, legal and tax environments. Develop test plans and run parallel tests.
7. Review and upgrade policy and procedure manuals in accordance with the goals of the section. Provide recommendations to management as changes in the environment dictate.
8. Provide assistance to executives, department heads and directors, in analyzing payroll and accounts payable costs, and other problems or questions regarding payroll and accounts payable charges.
9. Handle special executive compensation matters
10. Review monthly account reconciliations for accuracy and timely resolutions of open items.
11. Maintain compliance for Sarbanes-Oxley 404.
12. Develop direct reports by training, coaching and mentoring them.
13. Represent the team in cross-departmental projects.
14. Responsible for various external reporting processes (i.e. Sales/Use tax, 1099's & Unclaimed Property) Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems
